The Challenge
A specialist hospital laboratory pursuing NABL accreditation had to stay on top of 19 separate compliance areas — document control, equipment calibration, vendor evaluation, training, audits and more — using nothing but Word files, Excel sheets and institutional memory. Missed calibration dates and audit deadlines were a genuine, ongoing risk.
What We Built
We built a single platform covering every one of those 19 compliance areas.
- Controlled document repository for 75 SOPs and 28 quality procedures, with versioning and amendment logs
- Equipment registry for 50+ instruments, with service-contract and calibration due-date alerts and printable calibration stickers
- Breakdown log that flags repeat equipment failures automatically
- Stock tracking with minimum-level alerts
- Vendor evaluations across 18 vendors against 7 scored criteria, plus a contract-expiry tracker
- Training calendar with pre/post tests scored automatically
- Patient and staff feedback forms, including a regional-language patient form opened by scanning a code
- Internal audit and non-conformance tracking with a corrective-action workflow
- Housekeeping checklists and a quality-indicator dashboard
- Automatic daily sweeps that send email and phone alerts before anything falls due
Everything works on staff phones even over patchy hospital Wi-Fi.
The Result
Calibration due-dates, audit deadlines and vendor-contract expiries no longer depend on someone remembering to check a spreadsheet — the system raises the alert automatically, well before anything is missed. Nineteen previously scattered compliance areas now live in one place, with a clear paper trail ready for the next accreditation review.
